Who we are

Sterdts (Pty) Ltd (Reg. No. 2016/159326/07) provides international freight forwarding and removals services. This Privacy Notice explains how we process personal information in line with the Protection of Personal Information Act, 4 of 2013 (POPIA).

1) What personal information we collect

  • Identity & Contact: names, ID/passport, email, phone, addresses, company details.
  • Service & Contract: shipment details, collection/delivery locations, customs documentation, invoices/quotes, reference numbers.
  • Financial: payment details (limited to what’s necessary to process payments), VAT numbers.
  • Compliance: KYC/FICA/RCG documentation where required by law.
  • Technical (Site use): IP address, device/browser data, pages visited, and similar analytics.

We collect information directly from you, during service delivery, and (where lawful) from third parties (e.g., carriers, agents, analytics providers, public registers).


2) Why we process personal information (lawful purposes)

  • To perform a contract you request (quotes, bookings, surveys, transport, customs).
  • To comply with law (tax, customs, PAIA/POPIA duties, record-keeping).
  • Legitimate interests (secure operations, service improvement, client support, fraud and network security).
  • Consent-based uses where required (e.g., certain marketing preferences).

We apply purpose limitation and collect only what is necessary for the stated purposes.


3) Sharing and operators (third-party processors)

We may share personal information with:

  • Operators/Processors (IT, hosting, email, analytics, couriers/carriers, payment providers) under written terms that require POPIA-compliant safeguards.
  • Regulators/Authorities where legally required.
  • Professional advisers (legal, audit) under confidentiality.

We do not sell your personal information.


4) Security safeguards

We follow layered technical and organisational controls (access control, encryption where appropriate, device and email security, physical security, clean-desk, incident response). These are governed by our internal Information Security policies suite.


5) Retention & deletion

We keep personal information only as long as necessary for service, legal, or legitimate business purposes, and then dispose of it securely. See our Data Retention and Data Destruction controls. High-level retention principles are applied per category (e.g., statutory tax records up to prescribed periods).


6) Cross-border transfers

We generally process in South Africa. If transfer outside South Africa becomes necessary for service or legal reasons, we will ensure adequate protection via law, binding corporate rules, or contracts affording a level of protection substantially similar to POPIA.


7) Your POPIA rights

You may:

  • Access your personal information or request a confirmation of processing.
  • Correct or delete personal information (subject to legal retention).
  • Object to certain processing or withdraw consent where consent is the basis.
  • Request restriction of processing in specific circumstances.

If you’re unhappy with our response, you may lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.

We may send service updates and—where permitted—Sterdts news or offers. You can opt out of marketing at any time using the link in our emails or by contacting us. Transactional/service notices are not marketing and may still be sent.
